  Close Line Gaps in Mailware Labels
   How to remove blank address lines from labels

 
Mailware creates labels from your customers' billing and shipping addresses. You can enter or omit company names, second address lines and titles which can cause blank lines, or gaps, in mailing labels.

This tip shows you how to quickly and easily remove these gaps from labels (or any report) so they will always look professional and neat.

Follow the steps below to edit label reports in Mailware. For this tip we will edit the Label report you can print from an open order.
  1. Open Mailware and Click the Menu tab.
      

     

  2. Then click the Orders button.
     

     

  3. After the order screen opens hold Ctrl and press the F10 key or click Print and select Print Label.
     

     
  4. Choose any starting position for the label.


     
  5. When the report open click the Define Search tab (you may first note in the preview if blank lines appear in the address).
     

     
  6. On the toolbar click the Insert Blank Field icon . A blank column will appear in the grid below.
     
  7. Double click the new blank column to open it (Note: the column may appear between 2 columns or at the end depending on where you cursor was located when you created it. Also, you may need to left click it once to select it before double clicking to open it.)


     
  8. In the dialog that opens paste the following into the Custom Expression field.
     
    (ShipFirstName+' '+ShipLastName+#10+#13+IF(ShipCompany<>'',ShipCompany+#10+#13,'')+IF(ShipAddress1<>'',ShipAddress1+#10+#13,'')+IF(ShipAddress2<>'',ShipAddress2+#10+#13,'')+ShipCity+', '+ShipState+' '+ShipZip)
     
    Note: #10 is a carriage return and #13 is a line feed. This breaks each field into its own line. If a field is blank it is not printed and no carriage return or line feed is sent. Expressions for the Customer billing and shipping addresses are at the bottom of this tip.
      

     
  9. Next, click the Field Properties tab at the top of the dialog.
     

     
  10. Change the Header field to read LabelAddress.
     

     
  11. Click OK to close the dialog. You should now see a new column entitled LabelAddress in the grid below.
     

     
  12. Click the Layout Page tab at the top of the screen.
     

     
  13. Click the current address box in the label form on this page then press the Delete key to remove it (or, you can simply drag it outside the red lined area.)
     

     
  14. Now, let's add the field we just created to the label report. Click the Page Designer icon on the toolbar.
     
  15. In the dialog that opens click the Place tab, then click the Label button on the left column.


    Click the Place tab.
     

     

    Click the Label (L) button.

    Tip: Alternatively, you can simply drag the LabelAddress field from the Page Designer into your report (you can see the field in the list above).
     
  16. Next, left click anywhere in the red box to drop the field.
     

     
  17. Expand the field by dragging the bottom right handle (black square).
     


    Then, position the field by dragging it until it appears as follows.
     

     
  18. On the Page Designer left click the Customize tab at the top of the dialog:


     
    Then left click the Caption tab at the bottom.
     

     
  19. Change Label to [LabelAddress] including the brackets.
     

     
    Then close the Page Designer by clicking the in the top corner.
     
  20. Your label should now appear as follows.
     

     
  21. Click the in the top corner of the report screen to close the report. You will be prompted to save your changes. Click, Yes.


     
  22. To test your label open any order and press Ctrl-F10 on your keyboard or click Print on the text menu and select Print Label. Your label will appear with all its lines together.


     
     

You can apply these changes to any label report in Mailware. Simply follow the instructions above, but open the report you wish to modify in steps 1-4. You can find all the available label reports under the Reports tab on the Mailware Explorer.



 
Tip: If you would like to create a label for the customer's billing address, use the following formula:

(FirstName+' '+LastName+#10+#13+IF(Company<>'',Company+#10+#13,'')+IF(Address1<>'',Address1+#10+#13,'')+IF(Address2<>'',Address2+#10+#13,'')+City+', '+State+' '+Zip)

For labels from the Customer's shipping address (vs. the Order shipping address) use the following:

(ShipFName+' '+ShipLName+#10+#13+IF(ShipComp<>'',ShipComp+#10+#13,'')+IF(ShipAddr1<>'',ShipAddr1+#10+#13,'')+IF(ShipAddr2<>'',ShipAddr2+#10+#13,'')+ShipCity+', '+ShipState+' '+ShipZip)
