Add/Edit a Ship Company

Add a shipping carrier, ship methods and charges.

Instructions
Add a new shipping company. Then enter charges for various ship
methods.

You can open the Shipping Company dialog or a add a new shipping company by clicking the appropriate link on the Mailware Explorer. Or, simply click the View
Ship Companies link or the Add
icon below.

Enter or edit your shipping data in the screen that
opens. You can use the Tab key to move between fields and the down arrow
key to select pulldown fields. When you
cursor is on a button press the Space bar to activate it. Or, simply use
the mouse.

You can create as many ship methods as you need in the above table and select them in the Ship Via field on the Shipping tab when you add an order. You can also specify shipping charges for each method based on flat fees, order total,
weight and carrier rates and zones. The order will automatically calculate the shipping total.
Note: If you do not create charges for a Shipper (as described below) you can manually enter a charge on the order screen.

Shipper - Enter an abbreviated ship method
here. This will be the method shown in the pulldown on the order
screen.

Description - Enter a longer phrase for the
ship method. This appears on invoices and other reports. It also
appears on the pulldown in the order screen.

Carrier - Choose a shipping company from
the pulldown or select other.

Service - This field is reserved for future
use. You can skip it when entering data.
Charges - When you tab to or click on
this field a button
appears. Click on it to open the Shipping Charges dialog. Then
select one or more of the charge methods -
Flat,
Order Total, Weight
and Zones.
Flat Charges
Create fixed charges that are applied to a ship method based on
order criteria.
View a Shipping Company as described above. Or,
click the link below.
View a Shipping
Company
Select a Shipper and click on the Charges field.
Then click the button to open
the Shipping Charges dialog.

Click the Flat Charges tab or hold Alt
and press N to switch between tabs.

The following dialog will appear.

Flat charges are cumulative (i.e., they are added together on an order), and can be used in conjunction with order total, weight
and zone calculations. For example, you can enter a Per Order charge of $4.00, a Per Pound charge of $1.00 and a By Order Total calculation
of $3 for orders under $10. In a $9 order weighing 10 pounds the charge will be calculated as $4.00 + $10.00 + $3.00 = $17.00.

Click the
button to save your changes.
Charges by Order Total
Create fixed charges that are applied to a ship method based on
the total purchase amount of the order before Sales Tax.
View a Shipping Company as described above. Or,
click the link below.
View a Shipping
Company
Select a Shipper and click on the Charges field.
Then click the button to open
the Shipping Charges dialog.

Click the By Order Total tab or hold Alt
and press N to switch between tabs.

The following dialog will appear.

Charges by Order Total are calculated based on the Subtotal of items (excluding Sales Tax) and are charged in addition to Flat Charges, Weight Charges
and Rates and Zones charges you specify for each shipping method. You can also use the By Order Total to create charges above a specified order amount. For example, enter a From of $200.01 and a Charge of $50 (no To is needed) and only orders above $200 will be charged $50.
Note: If you need more lines for your Order Total
calculation you can combine the by Order Total and by Weight
tables into a single table. The setting is found in Preferences
under the Orders tab. Click here to change
Preferences.

This option is located in Preferences
(Tools>Preferences on the text menu) under the Orders tab.
If you select a single table option (By Order Total Only or By
Weight Only) Mailware will use both tabs for the option you
select. This setting is applied globally to all ship companies
and their ship methods. The new Shipping Charges dialog will
change tabs as follows:

By Order Total 1 and By Order Total 2 replace the
original By Order Total and By Weight tabs.

Click the
button to save your changes.
Charges by Weight
Create charges that are applied to a ship method based on the
total weight of all items in the order.

You will first need to enter weights for each of
your products. Open Mailware and click the Tables tab on the Company
Database. Locate the Product link and search for or view your
products.
Click

Or,
If you have already entered weights for your items
click
here to skip to the next portion of the instructions.

Enter a Weight for each item. Weights are
entered as decimals (e.g, 1lb 20z = 1.125). You can click the Calculator
icon to convert pounds and ounces to a decimal.
Click
the calculator icon to convert to decimal.

Go to the next product using the Navigation buttons on the
toolbar. Or search for a specific item with the Find icon .
Or,
click
here to find an existing product.
After you have entered weights you can set up your
shipping charges.
View a

Select a Shipper and click on the Charges field.

the Shipping Charges dialog.

The following dialog will appear.

Charges by Weight are calculated based on the combined weight of items added to the order. You can enter each item's weight in the Product screen Weight field. Charges by Weight are added to Flat and Order Total charges you specify. As in the by Order Total method, you can create charges that are applied only when an order exceeds a value you specify. For example, enter a From of 100.01 pounds and a Charge of $75 (no To is needed) and only orders weighing more than 100 pounds will be charged $75.
Note: If you need more lines for your Weight calculation
you can combine the by Order Total and by Weight tables into a

Orders tab. Click here to change

Charges
by Rates and Zones
Mailware can calculate UPS, FedEx and other rates from your
area. You will need your Zone chart from each shipper's web site before
entering data. Mailware uses the shipping address Zip code during order
entry to determine the recipient's zone, then looks up the rate and
enters shipping charges for the order.

You will first need to enter weights for each of
your products. Open Mailware and click the Tables tab on the Company
Database. Locate the Product link and search for or view your
products.

Two grids are available for entry. You will need
your Zone and Rate charts from your shipper (the Zone chart is based
on your Zip code). At the time of this writing U.S. UPS charts were available online at:
http://www.ups.com/using/software/currentrates/rates_in_us.html.
And, U.S. FedEx charts were available at: http://www.fedex.com/us/rates/zonelocator/?link=4.
You can search shipper's sites for additional charts.

Begin by entering the Zone information in the upper
grid. Select a Country from the pulldown in the first field.
The country name you select will be replaced by its number and will
be entered automatically on subsequent lines.

Next, enter a From Zip code or its prefix.
For example, 32211 or 322.

In the next column enter a To Zip code or its
prefix. IMPORTANT: Even if the entry is identical to the From
Zip be sure to enter it (e.g., From Zip = 322 and To Zip = 322).
There must be no blank fields in the chart.

Enter the Zone number from your chart. This
is based on the distance from your shipping Zip code to the
recipients Zip code as entered in the From Zip and To Zip fields.

Double-click the Unavailable checkbox
if you do not ship to the Zip code in that line. If checked the
Order screen will display the following message when attempting to
select that shipping method. In most cases you will leave this
blank.

Press the Tab or down arrow key to
continue to the next line until you have entered all Zones.

Next enter your Rates. These are based on the
Zones you entered above. In the first field enter the first Zone
number from your chart.

In the next two fields enter the beginning (From
Weight) and ending weight (To Weight) from your chart. Note:
Most shippers use whole pounds only. The upper limit or To Weight
will take precedence over the From Weight of the next line. For
example if you enter 0 to 1 in the first line and 1 to 2 in the
second line, the amount in the first line will be charged for items
weighing exactly 1 pound. Therefore, you may enter weights as:
1 to 2
2 to 3
3 to 4 etc.

In the Cost field enter the amount from your
Rate chart. This is the actual cost to you to ship.

In the Charge field enter the amount you wish
to charge your customer. This can be the actual cost amount as
entered previously or any amount you wish. Note: You must
enter a Charge amount even if it is the same as the Cost amount.

Enter additional lines by pressing the Tab or
down arrow key to move to a new line. When you are done click
the button to save your changes and exit the dialog.
Note: Changes are saved for each line as you enter them so
you do not need to save periodically. Also, you can use the mini navigator buttons
above each grid to move between lines.
To change the value of a
field, double-click it.

Repeat the above steps for each shipper and ship
method you wish to set up. When you take an order you can select a
method and the shipping charge will be automatically entered for
you.
