Merge duplicate customer accounts into a single account.
 

Instructions
You can merge multiple customer accounts into a single record. The merged account will retain all the orders and contacts from the merged accounts.

  1. You can merge accounts by searching for them. Click the Find Customer button on the toolbar or press the F4 key. 
    Or, click here to open the Search screen.

  1. Enter as many fields as you need to locate the customer then click the button or press Enter. 
     

  2. Matches will appear in the lower half of the screen. Highlight the record you wish to open and either double click it, press Enter or click the OK button.
     

  3. After the customer screen is open click the Merge text menu item. If you would like to keep this record (i.e., merge the next record you select into this one) then select the Mark as Master option. Otherwise, select Mark as Duplicate.


     

  4. Repeat steps 1 -4 above for the next account and select Mark as Duplicate (or Mark as Master if you indicated the first was a duplicate).


     

  5. You will now have a record marked as the Master and another marked as a Duplicate. To merge these into a single record click the Merge/Purge Marked Records... menu item.


     

  6. Mailware will merge the 2 accounts into 1. The name and address information from the Master account will take precedence over the Duplicate and all orders and contacts will be associated with the new master record. The duplicate record is deleted.
     
    If you would like to merge additional accounts into the new master record simply repeat the steps above until all duplicates are merged into the new master record.
     

Tip: You can use the Filter feature (click the icon in toolbar on the Customer screen) to display only those records that match the criteria you specify (e.g., Only customers named John Smith in Zip Code 80301). As you scroll through the accounts you can use the steps above to mark and merge them.

Tip: For help determining which customer accounts to merge try running the Merge reports first. You can find them under the Reports tab.
