Instructions
The Operator ID table is used to identify the employees of your company who use Mailware. The ID appears on Orders and Customer Contacts. You can also set up Sales Representatives and add their ID to orders for commissions.

You can also use this screen to set up and turn on security.
  1. You can add a new Operator ID, or view all ID's, by clicking the appropriate link on the Mailware Explorer. Or, simply click View Operator IDs or the Add  icon below.
     

  1. The Operator ID screen will open as follows.

  1. To add new Operator ID's click Add... on the toolbar or press the Insert key on your keyboard. The following dialog will open.



    Operator Information

  • Operator ID - Enter any number here for the operator. You will be warned with a Key Violation error if you attempt to reuse an existing number.
     

  • Enter a Last and First Name for the employee. You can have multiple employees with the same name, but with different Operator ID's. Names are automatically capitalized.
     

  • Added Dt - Mailware automatically enters the date the operator was added to the system.
     

  • Inactive Dt - You can enter a date when the employee will no longer be able to use their ID. This can be a date in the future for a temporary employee or a past date for an employee who is no longer with your company.

Security Settings

  • Password - If you wish to have your operators log in to Mailware enter a password for each operator you create. You will also need to setup access privileges in the next tabs.
     

  • System Administrator - Check this box if this operator will have full privileges to all of Mailware's functions. You need at least one system administrator if you plan to activate the security feature.
     

  • Inactive - Check this box when an employee is terminated. The operator id will still be in the system for reference purposes, but cannot be used in the future (unless you uncheck this box later). You can also use this to temporarily disable an operator id.
     

  1. To set access rights for each operator click each of the following tabs and select an access level.

    Tables



    Tables are the screens in Mailware you use to access main features like order entry, customers and inventory. For each Table Name select whether the operator will have Full Access (read and write capability), Read Only or no access (None).

    Note: Security is controlled through the Mailware Professionals table. You should give access to this table only to the System Administrator.
     
     
    Actions



    Actions are batch processes and tracking utilities in Mailware. You can specify Full or no access for each.
     
     
    Miscellaneous


     
    Miscellaneous features include many that are found in the text menu at the top of the Mailware screen. Most operators do not need access to any of these features.
     

  2. Click the button after entering settings for each operator.
     

  3. After entering all your operators, and after specifying a System Administrator, you can activate security. To do so click the button on the Operator ID toolbar. You will be prompted to confirm that you wish to turn security on.
     

  4. Close the Operator ID screen with the in the top right corner.
     

  5. The next time you open Mailware you will be prompted to log in with the following dialog:


     
    Select your Operator ID from the pulldown and enter your password to log in.



    Note: If you receive an error that reads "invalid variant" or "invalid operator id" be sure to select an ID from the pulldown before clicking OK.
     

  6. When logged in as the system administrator (or anyone with access to the Mailware Professionals table) you can turn security off by opening the Operator ID screen and clicking the Deactivate button.


     
    This will turn off security for all users and log ins will not be necessary. Everyone will have full access to all screens.
     
    Note: If you forget your passwords Core Technologies can retrieve them for you for a small fee.
