Find a product in your inventory and when taking orders using product numbers and partial word searches. Locate Subproducts (size, color etc.) quickly.

Instructions
Search for a product to add to an order, or when managing your inventory. 

Find a product during Order Entry
Follow the instructions below to find and add a product to an order.

  1. Add an order to Mailware (See the Take an Order help topic for details).
     

  2. In the Product Grid enter the items ordered by the customer.
     

     
    Click in the first field to highlight it, then type a Product Number, or click on the button, or press the F2 key to open a product search screen. The Product Search dialog will appear.

  1. You can search by one or more of the fields described below.

  • Full Text Search - Type any word or words you wish then press the Enter key or click the Search button. All products that contain that word in any field (product number, description, long description etc.) will appear in the results grid in the lower half of the screen.
     
    Note: You must type the complete word (e.g., Flowers, not Flow). You may type multiple, full words and they do not need to be consecutive (e.g., blue hat would find Blue Party Hat).

    Partial word searches are supported in the Product Number, Description and Long Description fields as described below.
     

  • Product Number - Type any portion of a product number (e.g., Flor, lor, or etc. will all retrieve FLORISTS FOAM). Click Search or press the Enter key to display results.

    Note: You can check the Real-time Incremental Search checkbox to have the list of results display matches as you type. A match anywhere in the product number will be displayed.
     

  • Description - Type any consecutive words or partial words that appear in the Description field of the Product screen. (e.g., "Arran" would locate AUTUMN 001 which has the word Arrangement in its description.)
     

  • Long Description - Type any consecutive words or partial words that appear in the Long Description field of the Product screen. (e.g., "Flow" would locate AUTUMN 001 which has the word Flowers in its long description.)
     

  • Supplier - Select a supplier from the pulldown and only the products for that supplier will be displayed when you click Search. Use it in conjunction with other search fields to narrow the results further.
     

  • Product Type - Select a Product Type you have set up to display only products set to that type (e.g., show only Tires, Chocolates, Perishables etc.)
     
    Tip:
    Product Type can be used as a simple alternative to Subproducts to display items that belong to a specific group (e.g., Create a Product Type of "Polo Shirt" and apply it to the variations of your Polo Shirts in inventory - Polo Shirt Large, Red; Polo Shirt Medium, Red etc.)
     

  • Show In Stock Items Only - Check this box to exclude items that have an In Stock quantity of zero or less.
     

  • Show Discontinued Items - Check this box to include items that have been marked as Discontinued.

  1. After products are displayed in the Results Grid you can simply double-click any item to add it to the order or you can display additional information about the product.

The Status Bar at the bottom of the dialog will display information about the item:

 

Press the F2 key or click to display a special product screen that contains all the information about the selected item:

You can browse any of the tabs in this display, but you cannot make changes to the product. When you are done close this window with the in the top right corner.

 

Right-click any item for more options:

  • Add to Order - Select this option to add the item to the order and close the Product Search dialog (this is the same effect as double-clicking the item or selecting it and clicking the OK button).
     

  • View Details - Opens the special Product screen so you can see more information about the item (same as pressing F2 or clicking the button.
     

  • View Stock Levels - Opens the special Product screen to the Stock Levels tab so you can see the number available in stock. (same as pressing F2 or clicking then manually selecting the Stock Levels tab).
     

  • Lookup Price - This is most useful for checking quantity discounts. When you select this option you will be prompted for the number of items. Enter a number and the per item and total price will be calculated for you.

 

When you are ready to add an item to the order double-click it or select it and click the OK button. You can also right-click and select Add to Order from the menu that appears.

 

Using the Subproducts Search
Products with options (size, color, make, model, year etc.) can be easily found and selected using the Subproducts search.

  1. Add an order to Mailware (See the Take an Order help topic for details).
     

  2. In the Product Grid enter the items ordered by the customer.
     

     
    Click in the first field to highlight it, then type a Product Number, or click on the button, or press the F2 key to open a product search screen. The Product Search dialog will appear. Click the Subproducts tab.

 

  1. Select a Subproduct Code from the pulldown.


 

  1. The Available Options for the selected code will appear (e.g., if you select Flowers in the sample database then the options Type and Color will appear.


     

  2. For each pulldown select an option. As you do so the matching products in the Results Grid will reduce in number until only one item remains.
     

  3. At any time during the selection of options you can highlight a product and add it to the order or right-click it for more information.

 

Find a product in your Inventory
Search for a product in your inventory using one or more fields including partial words in the description fields.

  1. Open the Product screen by clicking the Inventory button in the Main Menu, or the Product button if you are using Category View or Large or Small icons.
    Click here to open the Product screen.
     

  2. On the Product screen click the Find icon to search for a specific product.
    Click here to find an existing product.  
     

  3. See the instructions above for methods you can use to locate your product.
