Online Tutorials    report prompts
You can have your reports prompt you for input when they are Previewed or Printed. For example, an invoice could prompt you for the order number.
 

 
Adding a Prompt for Input to Your Reports

Note: for more information about creating and editing reports see our Modifying Reports Tutorial.

First open a report. There are 2 methods for opening a report to edit.

  1. You can do this just as you would to print it. For example, to open the invoice go to the order screen and click the reports button. Select from the list R5110 Invoice for Date Range. If you are prompted by the report, click the Cancel button on the prompt. You can then edit the report as described below. 
     
    If you have set preferences to print reports instead of preview them the first method for opening a report will not work. Try the Create Report icon on the toolbar instead, then choose File>Open Report. Browse to a report (e.g, the invoice is R5110 Invoice for Date Range.srw). Reports are stored in a Report folder in your Data directory. See the Manage Reports help topic in Mailware for more information about how reports are stored. 
     

  2. Click the Reports tab on the Company Database. Locate the report you wish to edit and click the Edit icon next to it.

 

To add the prompt to your report

  1. On the report click the Define Search tab.
     

  2. Double click a field in the lower portion of the screen (most fields will work with this tip, however, a few will not including Dates which can be set up to prompt as described in the Tip at the bottom of this page). An example would be the OrderNo field in the invoice. 



  3. The following dialog will open.


 

  1. In the Filter field on the right select one of the options in the pulldown (e.g., Is Equal To). In the example above we chose Is Greater Than or Equal To.
      

  2. Enter your prompt text in square brackets [ ]. We entered: [Enter the beginning Order Number]
     

  3. Click the OK button, then choose File>Save Report from the text menu.
     

  4. Click the Preview Report tab to test your prompt.
     

  5. A dialog will open with the text you entered as in our example below.


     

  6. Enter an order number (We entered an order number of 2) and click OK. Your report will show results for all orders equal to that number or greater. In our example order number 1 would not be included.

Tip: You can enter multiple prompts in a single report. This is especially useful for specifying a range since the Between function cannot accept 2 prompts. For example, add the OrderNo field to the Define Search columns twice and have one prompt for Greater Than and one Prompt for Less Than.
