There are several features in Mailware you may not know about. Following is a list of quick tips you can use to boost your productivity. Each is marked with the version in which you can find it.
 

 

Version Feature

How it Works

 
All Previous Customer History
(Quickly return to a previously viewed customer account)

When the customer screen is open hold Ctrl and press H. A dialog will open with the last 20 customer accounts you viewed. Double click one to open it.


All Filter
(Advance Search by multiple fields and partial entries)

The feature is perfect for finding records when you only have partial information, or need to search on an unusual field.

Tip: To search for a blank value select a field on the left and on the right enter "" (double quotes). Select Exact Match and click OK. This is a good way to find records that are missing data - e.g., Customers without email addresses.

  1. On any major screen (Orders, Customers, Products) click the Filter icon on the toolbar.
     
  2.  In the dialog that opens select a field on the left. On the right enter a Field Value or a range to search on. You can enter all or part of a value. Select a Search Type.
     
  3. Repeat step 2 for each field you wish to use. Note: If you select more than one field the results must match all of them (e.g., If you select First Name and Last Name then all results will match both values)
     
  4. Click OK and you will be returned to a Filtered version of the screen. Use the Navigation buttons on the toolbar to move through the matching records.

All Backup Database
You should make a backup daily to ensure against data loss.
  1. Close any open Mailware windows (orders, customers etc.) and any additional Mailware workstations on your network.
     
  2. Click the Tools item in the text menu then select Backup.
     
  3. In the dialog that opens simply click OK to backup your data to the default location or click the ... button to browse to a different location (e.g., a Zip Drive or other off system device is a good idea).

All Email a Customer

Click the icon next to the email address on the customer screen. Your email program will open with the send address pre-filled.


All Order and Item Buttons
Use these buttons on the Order screen to force backorders, mark shipped and cancel or return items or whole orders.

Note: To manage batches of orders use the Process Orders Action.

  1. Open any order.
  2. Click the Order button.
  3. Select the action you wish to perform.

Or,

  1. Select an item on the order you wish to edit.
  2. Click the Item button and select the action you wish to perform.

1 & 2 Detail Button
Use this button on the order screen to add order and gift messages, assign a sales rep, enter terms or Hold an order until a specific date.
  1. Open any order.
  2. Click the Setup button.
  3. Choose an item to edit (e.g., Order Message)
  4. Add each item you wish. To add a new item press the down arrow.
  5. Click Close to save your changes.
  6. From any order click the Details button.
  7. Select an item you created from the pulldown or enter:
  • an alternate order number (note: these are updated automatically with most imported orders)
  • Hold Order date (the order will not appear in Process Orders until that date)
  • Gift Message. 

All Bar Codes
You can wand bar coded items just as you would key them into Mailware.

You will need a keyboard wedge style wand with a hardware decoder. We recommend one of the following:

  1. When entering products be sure to use the bar code as the Product Number. You can either type this number or wand it using a bar code reader.
     
  2. To enter a product on an order tab to the Product grid and wand the item.
     
  3. To take inventory open the Adjust Inventory Action from the Company Database. You can set the action to increment (adjust by) the quantity by 1 if you wish to wand each item. Or, use the Change To method to wand an item then enter a quantity.
